Who does what in a private jet charter

We are a charter broker. When you contact us about a private jet charter, we act as your agent: we gather your trip details, request quotes from operators, present the options, and coordinate the arrangements through booking and travel. The flight itself is provided by an independent air carrier that holds an FAA Part 135 air carrier certificate. That operator has operational control of the aircraft and the flight crew, and it is the operator who makes the final call on routing, aircraft assignment, crew scheduling and whether a flight can safely depart.

This matters when you compare quotes. The operator's name and certificate appear on your quote and on the charter contract. We do not own or operate aircraft, and we do not employ the pilots who fly your trip. If anything about the flight itself changes, the operator is the party with authority over that decision.

How private jet charter quotes are

Every price we send is an estimate. It is built from the operator's rate for the aircraft and crew, fuel, airport fees, crew overnight costs where applicable, and positioning of the aircraft to your departure point. Estimates are valid for the period stated on the quote and are not confirmed until the operator accepts the trip and issues a contract. Fuel prices, aircraft availability and airport charges move, and a quote can change between the time we send it and the time the operator commits.

We will tell you what is included and what is not. Ground transportation, catering beyond standard provisioning, and de-icing in winter are common examples of items that may sit outside the quoted figure. Where a quote depends on a specific aircraft, we say so, because substituting a different tail number can change the price.

Payment, cancellation and changes

Payment terms, cancellation windows, change fees and refund policies are set by the operator and appear in the operator's charter agreement, which you sign directly with them. We do not set those terms and cannot override them. Read the contract before you sign it, particularly the cancellation schedule, which often tightens as the departure date approaches.

If you need to change a trip, tell us as early as you can. We will go back to the operator and ask what is possible and what it costs. Changes are subject to aircraft availability and the operator's agreement, not to a standing rule that we control.

Taxes and fees on charter flights

Charter flights within the United States are generally subject to federal excise tax, and segment fees apply per passenger per departure. International flights carry different charges, including customs and immigration fees and, in some countries, overflight and landing charges. These amounts are itemized on your quote where the operator has provided them and are collected as part of the charter price or as a separate line on the operator's invoice.

Because tax treatment depends on the route, the aircraft and the passenger count, we show the figures the operator gives us rather than calculating them ourselves. Ask us to break them out if you want to see them separately.

Limits on our responsibility

Our responsibility as your agent covers the work we do: collecting accurate trip details, requesting and presenting quotes, and passing information between you and the operator. We are not liable for delays, diversions, cancellations or aircraft substitutions caused by weather, air traffic control, mechanical issues, crew availability or other matters outside our control, and we are not the carrier for purposes of any claim arising from the flight.

Any claim relating to the operation of a flight is governed by the operator's charter agreement and by applicable law, including international conventions where they apply. Our liability for our own services is limited to the fees we receive for arranging your trip.

What you agree to when you book

By asking us to arrange a private jet charter, you confirm that the passenger names and weights you give us are accurate, that you are authorized to book on behalf of everyone traveling, and that passengers will carry acceptable identification and meet any entry requirements at the destination. Weight and balance limits on smaller aircraft are real constraints, and the operator relies on the numbers you provide.

Tell us about anything that affects the day: pets, mobility equipment, oversize baggage, unaccompanied minors, or a tight connection on the ground. We will pass it to the operator and confirm what they can accommodate before you commit. If a detail changes after booking, let us know and we will update the operator.
